APT Process 3 — preparing to "Deliver it"

About this time, Gordon will have shown Jill and John the special APT system for setting intelligent priorities. For the simplicity of this explanation we will defer the how-to-do-it details until a later module.

Let's assume that sub-plan 1.1 `Interior Refurbishment Plan' was selected as one of the high priority action items.

This means that a `reality' based set of action steps needs to be prepared.

Introducing the APT Action Plan system

To create simple yet effective action plans, Gordon explains the procedure used to detail APT plans.

This is called the `PSP' system.

He told them that PSP is an acronym for `Purpose', `Strategy' and `Person'.

He then went on to say, "for each of the sub-plans that you have given a high action priority, we need detailed action plans. To achieve this we will use the PSP detailing method".

Gordon then used a diagram like the one shown here to explain how the PSP system works.

He commented, "for each sub-plan that we are going to detail, we only need to provide three simple pieces of information.

One: We need to briefly describe the sub-plan's PURPOSE i.e. what you want this specific sub-plan to achieve.

Two: We then need to briefly describe the STRATEGY or action STEPS that will be needed (to achieve the purpose).

Three: Finally, we need to indicate the PERSON who will be responsible and accountable for the strategy or action steps".

From start to finish

Let us now do a quick walk through Jill and John's planning session and follow one part of their plan from idea through to action.

In the first APT process they Visualised what `Great Premises' would be for them. One of the desirable attributes they identified was `Smart Interiors'.

In APT Process 2, Jill and John created a sub-plan to address this vision element. They named a sub-plan `Interior Refurbishment Plan'.

In APT Process 3, the duo was asked to provide action plan detail for this sub-plan. Would you now read through the `PSP' details for sub-plan 1.1 in the next frame.

A one page summary of the complete 3 process system

In APT Process 1, the planning team used an APT Vision Chart to logically and systematically transfer their ideas from their heads, on to paper. They build a shared vision of what the meaning of `success' in the restaurant would be to them.

In APT Process 2, the team logically `designed' a structured business plan that would address each and every element of their vision of success.

In APT Process 3, they established some priorities and then used an APT procedure to define the Purpose, achievement Strategy and Person responsible and accountable for each part of their plans.
